Duties and responsibilities
● Working with and assisting Finance Controller on their daily duties
● Use Xero data to create analytical reports.
● Day to day bookkeeping including the preparation and processing of commission invoices and credit notes.
● Perform data entry and maintain accurate records of financial transactions in Xero.
● Daily reconciliation of bank statements for multiple accounts.
● Completing UK& US Vendor Forms requested by external sources.
● Preparation ofDebt Reports on a per Manager basis
● Inbox management including responding to enquiries from vendors and internal staff regarding financial transactions and accounts.
● Collating information for external client accountants for VAT Return processing.
● Assisting on weekly payment runs and covering when Finance Controller is on Annual Leave.
● Communicate with both the UK & US team and assist in the implementation of back end procedures and processes across the department.
● Assisting theFinance Controller in the day to day running of the office including purchases and general maintenance.
● Liaising with external vendors regarding the purchases, maintenance and utilities of the office.
● Management of office supplies including refreshments, stationery and equipment.
● Updating paperwork, maintaining documents, and word processing.
● Helping organize and maintain office common areas.
● Performing general office assistant duties and errands.
● Generally, work collaboratively if there is something that needs to be done. We are a very, all-hands-on-deck company.
Specifications
Required:
● Knowledge of the of the entertainment business and media industry
● Previous bookkeeping experience, AAT Level 2/3 favourable
● Good knowledge of accounting and bookkeeping procedures
● Familiarity with accounting software (e.g Xero)
● Strong IT skills to include (Word, Microsoft, Excel, Outlook)
● Able to prioritize tasks and manage time, especially with high work volumes
● Strong organisational skills with the ability to prioritise and meet deadlines
● Attention to detail, with an ability to spot numerical errors
● Articulate and concise both in verbal and written communication
● Excellent interpersonal skills
● Motivated, ambitious and willing to learn
● Thrive under pressure, remain calm in situations and have the ability to multitask.
● Team player
● Ability to follow instructions carefully
Working conditions
The role is usually carried out during normal business hours from the company’s London office situated in Covent Garden. On occasion, the job may require evening or weekend work, remote working.
